Privacy Policy
Last updated: July 24, 2026
Gruv Pte. Ltd. (“Gruv”, “we”, or “us”) runs gruv.ai and the Gruv services that link to this policy. This page explains what personal information we collect, why we need it, who receives it, and how to contact us about it.
1. Where this policy applies
This policy covers gruv.ai, our free tools, contact and demo forms, and any Gruv service that links to it. When a payment provider or another partner runs part of a service, its own privacy notice also applies to that part.
2. Information we collect
When you contact us or open an account, we receive the details you submit. These may include your name, work email, company, job title, phone number, and message.
To provide a Gruv service, we may also need business records, client or contractor details, invoices, transaction data, tax documents, identity documents, compliance records, and support messages. The exact information depends on the service.
Some tools send an input to another service to return a result. For example, we send a VAT number for EU VIES verification. Community feedback may include a random identifier created by your browser so that we can organise submissions.
Our website records basic technical information, including your IP address, browser, device, referring page, pages viewed, and actions such as clicks and form submissions.
Optional analytics and social features use cookies only after you consent. Some free tools keep drafts and preferences in your browser so that they are available when you return on the same device.
3. How we use information
We use personal information to:
- Reply to questions, demo requests, and support messages
- Provide the website, tools, and services you use
- Create and manage accounts
- Send service notices and, where permitted, product updates
- Measure website use when you allow analytics cookies
- Detect fraud, misuse, and security threats
- Keep the records required by law, regulators, and accounting rules
4. When we share information
We use service providers for hosting, forms, email, analytics, and day-to-day operations. Google-hosted services receive contact and demo form submissions. Gruv Pte. Ltd. keeps those submissions so that we can respond.
A Gruv service may also involve providers for identity checks, compliance, e-signatures, tax documents, payments, foreign exchange, or settlement. We send each provider the information required for its part of the service. Its own terms and privacy notice may apply.
We may also disclose information when you ask us to, when required by law, to protect a person or the service, or as part of a merger, financing, acquisition, or sale of the business.
5. Cookies, analytics, and local drafts
Optional analytics and social features are off unless you enable them. You can change that choice at any time through the cookie controls. An analytics provider may receive your consent status and basic device information even when optional analytics cookies are off.
Drafts and preferences saved by a free tool stay in your browser until you clear them. Information sent through a form or Gruv service is handled as described elsewhere in this policy.
6. International processing
Gruv Pte. Ltd. is based in Singapore. Some of our providers process information in other countries. Their local privacy laws may differ from those in your country. You can contact us about a specific transfer.
7. How long we keep information
We keep information for as long as we need it to provide a service, answer you, maintain business and security records, or comply with the law. Different records have different retention periods. You can ask us about a particular record or request its deletion.
8. Security
Access is limited to people and providers who need the information for their work. We also use technical and organisational safeguards. No online service is completely secure, so protect your account and tell us if you suspect unauthorised access.
9. Your choices and privacy rights
Depending on where you live, you may have the right to access, correct, delete, restrict, object to the use of, or receive a copy of your personal information. You may also withdraw consent. We may need to keep certain records even after a deletion request.
Use the cookie controls to change your analytics and social choices. Use the unsubscribe link in a product email to stop those emails. We will still send notices needed to run your account or a service you requested.
10. Third-party sites and services
This policy does not cover websites or services that we do not operate. Read their privacy notices before giving them personal information.
11. Changes to this policy
We will post changes on this page and update the date above. If the law requires us to notify you directly, we will.
12. Contact us
Email [email protected] with a question or privacy request. Include the email address or organisation you used with Gruv so that we can find the right records.
